Community standards & code of conduct
A community built on trust
We want everyone in the HotTopics community to feel welcome, respected, safe and able to participate with confidence, whether participating virtually or attending one of our events in person.
These Community Standards & Code of Conduct apply to everyone participating in the HotTopics community, including members, partners, speakers, guests, suppliers and employees.
By participating in the HotTopics community or attending a HotTopics event, you agree to uphold these standards and help create a positive experience for everyone.
What we expect from everyone
We ask everyone to:
- Treat others with dignity, respect and professionalism.
- Help create an inclusive, welcoming and safe environment.
- Respect personal boundaries and different perspectives.
- Communicate constructively, even when opinions differ.
- Respect the confidentiality of discussions where requested, including conversations held under the Chatham House Rule.
- Drink responsibly where alcohol is served.
- Raise any concerns if something doesn't feel right.
Behaviour we won't tolerate
We do not tolerate behaviour that makes others feel unsafe or unwelcome, including:
- Racism, sexism or discrimination of any kind.
- Harassment, bullying or intimidation.
- Unwanted physical contact or sexual advances.
- Offensive, abusive or threatening language or behaviour.
- Deliberately excluding, humiliating or intimidating others.
- Excessive intoxication that compromises the safety or experience of others.
- Retaliation against anyone who raises a concern in good faith.
- Any other behaviour that compromises the safety, wellbeing or experience of others.
These standards apply throughout our events, including conference sessions, networking activities, dinners, social events, accommodation organised by HotTopics and online community spaces.
Raising a concern
If you experience or witness behaviour that doesn't meet these standards, we encourage you to tell us as soon as possible.
You can:
- Speak to any member of the HotTopics event team. They will ensure the concern is escalated to the Event Lead, who is responsible for coordinating the response.
- If you're unable to raise it during the event, email us at community@hottopics.ht as soon as possible afterwards.
- Contact your usual HotTopics representative if you're unsure who to speak to.
You are never expected to deal with a situation on your own. We're here to support you.
What happens next
When a concern is raised, we'll:
- Listen carefully and ensure everyone involved is safe.
- Assess whether any immediate action is needed.
- Gather information from those involved and, where appropriate, any witnesses.
- Review the situation fairly and as confidentially as possible.
- Keep a record of the concern and any action taken.
- Decide on the most appropriate course of action.
Depending on the circumstances, outcomes may include:
- Speaking with those involved.
- Issuing a verbal or written warning.
- Removing someone from a session, activity or event.
- Suspending or ending participation in the HotTopics community.
- Contacting venue security or emergency services where appropriate.
Our commitment
Every concern will be treated seriously, respectfully and fairly. We aim to respond promptly, protect the wellbeing of everyone involved and take appropriate action where our standards have not been met.
We regularly review our Community Standards, event processes and team guidance to ensure we continue to provide a safe, professional and inclusive environment for everyone.
